Administrative Assistant

The Administrative Assistant will perform duties that include, but are not limited to: copying, printing, and filing materials; distributing mail and faxes; processing invoices; and managing schedules. He/she must be able to assist project staff with special projects and provide administrative assistance to other Project Directors, as needed.

One year of relevant experience and strong communication and computer skills are required.

Information Specialist

The Information Specialist will respond to toll-free calls and e-mails with health-related inquiries, utilize databases to process information requests, and promote project services at national conferences.

Candidates must have experience in a health-related customer service position, excellent oral and written communication skills, and computer proficiency. Bilingual skills (English/Spanish) and a bachelor’s degree are strongly preferred.

Bilingual Information Specialist

The Bilingual Information Specialist will respond in both English and Spanish to toll-free calls and e-mails with health-related inquiries from health professionals, consumers, students, and Government agencies. Other responsibilities include using the Internet and databases to identify referral resources and enter responses and resource information; promoting project services at national conferences and meetings, and maintaining mailing lists.

Candidates must have experience in a health-related customer service position, excellent oral and written communication skills, strong Internet skills, computer proficiency, and a bachelor’s degree. Fluency in both Spanish and English—both written and spoken—is required.

Senior Information Specialist

The Senior Information Specialist will supervise Information Specialists, respond to complex health information requests, and support health awareness campaigns and development of print and Web materials.

Qualified candidates will have a minimum of 5 years of relevant work experience, including at least 1 year supervising staff. A bachelor’s degree in health, science, health education, health communications, or a related field (a master’s is preferred); excellent oral and written communication skills; and proficiency with Microsoft Office applications are required.

Exhibit Coordinator/Information Specialist

The Exhibit Coordinator/Information Specialist will be responsible for handling all logistical arrangements for client exhibit programs. He/she will make travel arrangements for staff traveling to exhibit events; complete required exhibit follow-up reports according to contractual timelines; review prospectuses and prepare exhibit summaries, checklists of tasks, and draft publications lists; reserve and pay for approved exhibit space; arrange for all onsite exhibitor services for approved exhibits; prepare and provide pre conference resource packets to exhibit staff; coordinate packing and shipping arrangements with Circle’s Distribution Center; and respond to requests for materials and information.

Qualified candidates will have excellent oral and written communication skills, exhibit-related customer service experience, strong computer and Internet skills, and a bachelor’s degree.

Registration Coordinator

The Registration Coordinator will collect, proofread, and input data and updates in to the registration database, and print name badges and other conference materials.

Qualified candidates will have 3 years of administrative experience, proficiency with Microsoft Word and database software, and an eye for accuracy. United States citizenship and the ability to travel throughout the U.S. are a must.

Publications Coordinator

The Publications Coordinator will be responsible for logging and tracking all health information clearinghouse consumer publications in production. He/she will coordinate and liaise with medical writers, editors, graphic designers, and Web staff; enter active publications into a publication spreadsheet daily and track progress; prepare daily reports and daily courier runs to clients; create project production timelines; manage the manuscript clearance process; assemble and write sections for monthly reports; lead weekly meetings; prepare follow-up reports for action items; update publication tracking and routing forms, as needed; and maintain the production training manual.

Qualified candidates must have strong organizational skills, be extremely detail-oriented, and possess excellent communication skills. Proficiency with Microsoft Office applications (Excel, Outlook, and Word) and experience with document tracking software (e.g., Clients & Profits or SharePoint) are a plus.

Proposal Manager

The Proposal Manager will be responsible for RFP analysis, scheduling, and tracking; content development; writing; production; and delivery of various types of proposals. He/she will review and identify procurement opportunities; outline and schedule proposal development activities; write and/or tailor essential non-technical elements of proposals; assign work and follow up with proposal team members; coordinate assignments and relationships with subcontractors and teaming partners; proofread and/or edit proposals at various stages; coordinate production (copying, packaging, delivery); and work with presenters on the development of slides and scripts for presentations. The Proposal Manager will collaborate and interact with other departments, and must be able to work extra hours/weekends when needed.

Qualified candidates will have an in-depth understanding of all sections of an RFP, an established track record of writing and managing compliant proposals, excellent writing skills, strong organizational and communication skills, and the ability to multi-task. Proficiency with MS Office tools required; knowledge of graphics development a plus.
